Photograph a complete handling journey rather than disconnected views
Follow the flow from goods receiving to racking, retrieval and dispatch. At each point, take a wide view for context and a close-up of the detail to be measured. Photos showing only trucks or racks often miss low doorways, turning areas and pedestrian routes.
Name photos by route, point and date, for example “Tuyen-A_Cua-1_2026-10-12”. Record the person taking the measurements and the units in an accompanying table. Do not ask staff to stand in an active truck operating area to take photos; organise the survey under the site's safety procedures.
Record photos and measurements at each work point
| Point to record | Photos / measurements | To be confirmed |
|---|---|---|
| Pallets and loads | Photos from above, the side and underneath; dimensions and total weight including the pallet | The largest load and commonly handled types |
| Rack levels in use | Full rack-row photos and load placement height | Required load at the highest rack level |
| Doorways and turning points | Clear width and height; photos of obstructions | The narrowest point during operations |
| Travel route | Diagram from receiving to placement; photos of joints and gradients | The route approved by the person responsible for the site |
| Charging or refuelling area | Location and supply details provided by the technical team | Whether the infrastructure can meet requirements |
Use this checklist to prepare information and compare proposals. Operating specifications must be confirmed for the exact model and configuration against the manufacturer's instructions.
Choose representative loads and the most challenging load
A quotation needs the heaviest load, but also long loads or loads with an unfavourable load centre. A warehouse may have lightweight items that are bulkier than its heavy items. Record the total weight, packaging, position on the pallet and proposed support points; clearly mark anything not yet weighed or checked.
Separate standard pallets used regularly from special loads handled occasionally. Do not assume a truck with a suitable nominal capacity can lift every load. Use the configuration documents and load chart at the working height to make the comparison.
Measure narrow points under actual operating conditions
The distance between empty racks differs from the usable width when pallets project into the aisle. Photograph and record both fixed obstructions and conditions common at peak times. For doors with opening mechanisms, record the clear height in their actual operating position.
For aisles, state the pallet entry direction, pallet dimensions and turning location. Do not use one aisle-width figure to conclude that every reach truck or seated forklift will fit. Read more about measurements for narrow aisles and high racks.
Distinguish confirmed measurements from assumptions
Give each field a status: measured, taken from a drawing, supplied by the warehouse owner or requiring another survey. Old drawings may differ from site conditions after rack or doorway changes. Refer floor, dock-plate and power-supply confirmation to the responsible technical person; photos do not replace assessment documents.
Hypothetical example: the warehouse team reports a 3 m doorway height, but the photo does not show the door track. Record “clear height not yet confirmed” rather than finalising a configuration from that figure alone. Recording the information source helps purchasing understand why the quotation remains conditional.
Share one common version before approving the proposal
Collect photos, measurement tables and diagrams in one folder with a version identifier. Record when the truck is needed, the delivery address and who may confirm changes. When pallets are added or travel routes change, send the changes with a new version so the adviser does not use outdated documents.
Use the detailed configuration requirements form to submit the information. If measurements are incomplete, state what is missing and request a survey. ACE C&T's forklift rental service is designed for long-term requirements; the configuration and schedule are finalised after the documents are reviewed.
Rental terms and configuration-based quotations
ACE C&T rents out 100% new Hangcha forklifts with a minimum contract term of 12 months. Prices from VND 7,500,000 per truck per month apply to standard configurations, as confirmed on 07/10/2026; the model, operating hours, VAT, round-trip transport and maintenance scope are confirmed separately in the quotation. Do not treat the starting price as the rate for every configuration.
Submit a request to confirm the configuration and cost scope before approving the proposal.
Frequently asked questions
Can I send photos before measurements are available?
You can send photos to begin the discussion. Measurements that affect the configuration still need confirmation before the proposal is finalised; do not estimate distances from photos for acceptance specifications.
How should we prepare the file if the warehouse racks have not been installed?
Send version-controlled drawings, pallet dimensions and the rack installation plan; mark provisional information and reconfirm site conditions before handover.
Where can I submit forklift rental requirements to ACE C&T?
Via hotline/Zalo 0904.070.313 or the requirements form on the website. ACE C&T supplies trucks nationwide in Vietnam on contracts from 12 months.
