1. Fix the inputs that affect the quotation
Ask suppliers to quote for the same fleet size, term, configuration, location and expected hours. Specify new or used trucks, battery and charger requirements for electric models, and attachments.
If inputs remain undecided, ask the supplier to list assumptions. A single-shift quotation should not be compared directly with a multiple-shift package or one including replacement trucks.
2. Separate costs into categories

3. Compare the full intended rental period
Prepare an internal table covering total rent for the planned term, delivery/collection and excluded operating costs. Separate refundable deposits from usage costs; their treatment depends on the agreement and they should not all be treated as money spent.
Model scenarios for unknown costs such as excess hours or relocation instead of assuming zero. Use supplier-confirmed figures or internal data and clearly mark estimates.
Do not assume long-term rental is always cheaper than buying, or a lower rate always saves money. Differences in service scope can reverse the result.
4. A quotation request template
Our business needs … forklifts at … for … months, operating about … hours/day. Maximum load …, dimensions …, lift height …, aisle width …. Please propose a configuration and separate rent, transport, battery/charger, maintenance, hour limits and exclusions.
