Clarify operating hours before comparing monthly rates

Ask whether included hours apply per month or another period, what excess-hour rate applies, if any, and whether hours can be allocated between trucks. Do not assume unlimited use or that unused hours on truck A can be transferred to truck B. These terms should appear in the agreed quotation or appendix.

The meter may count time according to the model's specific mechanism. Ask for reading instructions; do not treat staff working time as truck operating hours. The guide to reading a forklift rental quotation helps compare the other cost items.

Use this checklist to prepare information and compare proposals. Operating specifications must be confirmed for the exact model and configuration against the manufacturer's instructions.

Confirm the opening reading at handover

The handover record should include the truck identifier, reading, units, date, time and confirming person. Take a photo showing the identification and display clearly, or attach two photos taken at the same time. Record the reading method with the operating instructions so staff taking over a shift do not confuse different indicators.

If pre-handover testing has already produced a meter reading, record the actual value and agree the billing start point under the contract. Do not require every new truck to show zero, or assume that the hour-meter reading alone proves the equipment's condition.

Separate operating logs from the basis for billing

Warehouse logs may record shifts, operators, handling routes and truck condition. Hour-meter logs record readings. The two sources complement one another but are not interchangeable. When the truck waits for goods, record the reason for operational management; any charge or waiver is subject to agreement between the parties.

Keep regular cut-off points and assign someone to check unusual differences. If a photo is unclear or a period is missing, mark it unconfirmed rather than entering an estimate as an actual reading. This helps the reconciliation contact investigate before preparing the payment statement.

Handle truck swaps, meter repairs and extended downtime

When swapping trucks, close the old truck's reading and start a separate record for the new truck. One monthly rental charge may involve several truck identifiers; records must show when each unit was used. If a meter is replaced or repaired, request a record of the old and new readings and how any unrecorded interval will be handled.

Downtime, replacement-truck provision and rental adjustments must be checked against the contract scope. Do not assume all downtime is free of charge or every replacement has the same rate. Keep the technical confirmation and discussions about operational impacts with that period's reconciliation records.

Use the formula only after confirming the conditions

Hypothetical example: actual hours H, included hours G and excess-hour rate R; the estimated excess-hour charge is max(0, H − G) × R only if the contract uses that mechanism. If R has not been confirmed, leave it pending a quotation; do not divide the monthly rent by a number of hours to invent an ACE rate.

Send the reconciliation sheet with readings, photos, truck changes and proposed adjustments before the agreed cut-off. When booking a forklift rental service, state expected shifts and operating hours from the outset so ACE C&T can propose suitable usage terms.

Rental terms and configuration-based quotations

ACE C&T rents out 100% new Hangcha forklifts with a minimum contract term of 12 months. Prices from VND 7,500,000 per truck per month apply to standard configurations, as confirmed on 07/10/2026; the model, operating hours, VAT, round-trip transport and maintenance scope are confirmed separately in the quotation. Do not treat the starting price as the rate for every configuration.

Submit a request to confirm the configuration and cost scope before approving the proposal.

Frequently asked questions

Does monthly forklift rental automatically include unlimited hours?

No. Included hours and excess-hour charges must be confirmed in the quotation or contract for the specific configuration.

Can operating hours be calculated from work shifts?

Work shifts help forecast requirements. Reconciled hours must follow the counting method and records agreed by both parties, usually linked to each truck's hour meter.

Does a replacement truck need a separate hour record?

Yes. Record the truck identifier, starting and ending readings and handover times; how these hours are included in the rental period is confirmed under the contract.
