What to check when renting a forklift: a pre-delivery checklist

1. Confirm the configuration in writing

Specify the model or accepted equivalent: power source, capacity under operating conditions, lift height, forks, attachments, tyres and required equipment. For electric trucks, confirm whether the battery and charger are included.

For 100% new trucks, agree on documents and handover condition used to verify this. Advertising images illustrate ranges and do not replace the truck list and configurations agreed in the contract.

2. Ask what is excluded from the rent

The same monthly rent may cover different hours. Ask about hour limits, meter readings, cut-off dates and excess-hour rates. Clarify two-way transport, fuel or electricity, consumables, attachment charges and taxes in the quotation.

Distinguish routine service charges from damage or use outside agreed conditions. Record the agreement rather than relying solely on phone calls that may leave different interpretations.

3. Agree on downtime arrangements

Ask who receives fault reports, what information is needed, available technical support at your location and arrangements for prolonged repairs. If a replacement is needed, agree on conditions, configuration and charges; do not assume it is included.

Fit maintenance into the production schedule. Multiple-shift factories should appoint someone authorised to arrange downtime, record faults and confirm work completion.

4. Prepare handover records and operating documents

• Record serial numbers, models, meter hours, configuration and accessories.
• Photograph the truck, battery, charger, tyres and any existing marks.
• Check operating instructions, load-plate information and documents required at the site.
• Agree on rental commencement, return date and how return condition will be recorded.

Technical inspections and trials must be performed by competent personnel following manufacturer instructions. Do not put a truck showing unsafe conditions into work just to see whether it functions.
