Separate the equipment price from items that remain unclear

The first line should identify the model, capacity, mast, tyre type and attachments. For an electric truck, the battery and charger need separate information: type, capacity or relevant specifications, compatibility and supply scope. A quotation describing a “complete 3-tonne electric truck” still needs a configuration appendix; two similarly named packages may use different batteries or masts.

Next, mark whether tax, transport, unloading, handover instruction, accessories and documentation items are charged separately or included in the total. Do not assume which party bears every cost. If an item is not confirmed, mark it “unclear” in the comparison table instead of entering zero. A zero can easily be read as free of charge and make an option appear cheaper than it really is.

Compare suppliers against the same scope of work

Start the comparison with a common requirements brief. If option A uses a different mast from option B, do not compare the totals and conclude that the difference comes from the brand or the seller’s margin. Ask for an explanation based on working capability: lowered mast height, free lift, residual capacity, attachment type or energy-replenishment schedule.

Add a column for “difference that benefits the work”. An option has value only when it addresses a real requirement or reduces an identified risk. Conversely, removing a component to reduce the price makes sense only if the operating criteria are still met. This approach avoids a situation where the warehouse requests a high specification, purchasing removes options, and the two teams then use different criteria to judge the result.

Calculate ownership cost over a consistent analysis period

A management costing framework can include purchase and commissioning costs, energy, maintenance, repairs outside the agreed scope and estimated downtime costs, less an assumed recovery value at the end of the period. This is a planning model, not a financial performance guarantee. Options must use the same analysis period and the same handling throughput for the results to be meaningful.

Split downtime cost into two parts. Direct costs include renting replacement equipment or overtime to recover the schedule; indirect costs may include waiting time for staff and delivery trucks. Do not count the same effect twice. If reliable data is unavailable, show low, base and high scenarios rather than presenting a falsely precise figure.

A hypothetical numerical example to check the calculation

Assume option A has an initial investment cost of VND 400 million and forecast operating costs of VND 72 million per year; option B costs VND 460 million initially and VND 54 million per year to operate. Over five years, before financing costs, tax, downtime and recovery value, the totals are VND 760 million and VND 730 million respectively. This example illustrates the calculation only; it is neither an ACE C&T sale price nor a forecast.

The initial investment difference is VND 60 million and the annual operating difference is VND 18 million; simple division gives approximately 3.33 years to offset that difference. However, the conclusion changes if actual operating hours fall, energy prices change or the maintenance schedule differs from the assumptions. Disclose every input, test sensitivity and show annual cash flows before selecting an option.

Read warranty and service terms as a defined scope of work

Warranty duration is only part of the information. A business needs to know which components are covered, operating-hour conditions, exclusions, fault-reporting procedures and who performs inspections. Ask about separate battery and charger conditions where applicable. Do not assume that a policy for a foreign market or another product range automatically applies to an order in Vietnam.

Also distinguish scheduled maintenance, out-of-warranty repairs, wear parts and the arrangements when a truck is out of service. “Technical support included” does not define response or restoration times. Ask for the contact point and process to be recorded in the contract; the supplier must confirm any specific time commitments for the factory’s location and shift schedule.

Move from a price table to a purchase decision that can be checked

Before approval, check that the totals cover the same configuration, delivery and handling scope, and payment terms. Record each quotation version and its validity date to avoid comparing an old quotation with a new one. When negotiations change the equipment, ask for the appendix and total price to be updated rather than relying on a verbal discount.

The final table should give three separate conclusions: whether technical requirements are met; the total cost under the current assumptions; and the items still awaiting confirmation. This shows the approver which points are facts and which are estimates. ACE C&T quotes new Hangcha forklifts for a specific configuration; the website’s published starting rate of VND 7,500,000 per month is for long-term rental services, not the truck sale price, and must not be used to infer a purchase price.

Frequently asked questions

Are the figures in this example ACE C&T forklift prices?

No. They are hypothetical figures illustrating the calculation method. An actual purchase price requires a quotation for a specific configuration.

Can I compare two total prices without checking the batteries and masts?

It is better to align the configurations and included items before comparing prices. Otherwise, the conclusion may be based on different scopes of supply.
